Description:

Alstar Oilfield Contractors’ process is to use Daily Grid Timecard Templates, submit time daily and to move daily approved time to a different batch for Payroll to post and further process the time in Vista. See KDS-I-1571 for Daily Batch Move using daily grid timecard templates.

As a result, being able to Lock all employee time by grid timecard template prior to the batch move is required. The Batch Action in the Timecard Dashboard does not have the feature to allow us to Lock All Employees by Timecard Template.

Suggestion:

Please add the ability to Lock All Employees by Template and to Unlock All Employees by Template.

The feature is to behave like the Lock All Employees in the Batch Action menu of the Timecard Dashboard

1. Selecting this Option will generate a message saying “Lock Portal Timecard: Select Timecard”

   1. A list of unlocked Timecards for the current PRCo, PR Group and Pay Period selected will display

2. The ability to multi-select Grid Timecard Templates is available

3. The ability to Select All is available

4. The ability to Select None is available

5. The ability to Reset is available

6. [Lock Timecard Template(s)] button and [Cancel] button

7. The same or similar options are available for “Unlock All Employees by Template”

Scenario:

The Timecard Admin (TA) is going to move time for day 4 of a 14 day payroll period.

1. The TA notices that the template for day 3 has not been locked.

2. The TA wants to lock day 3 and 4.

3. The TA opens the “Lock All Employees by Template” and sees that days 1 and 2 are locked;
   Days 3 to 14 are not locked; by virtue of only having days 3 to 14 available to lock in the list provided for locking.

4. The TA locks days 3 and 4.

   1. Timecards 1 through 4 are now locked and

      1. no new time can be entered;

      2. no time can be modified,

      3. no time can be submitted;

      4. no time can be created by cloning or copy feature.

5. The TA proceeds to moving time for desired day(s) by grid timecard template for payroll and Job Billing Ledger Update. (See KDS-I-1571)

6. The TA receives notification that time needs to be entered for Day 3 and proceeds to “Unlock All Employees by Template”

   1. Days 1 through 4 are displayed as locked templates for the given PRCo, PRGroup and Pay Period.

7. The TA unlocks Day 3 and all employees from Day 3 can now enter new time or modify time not yet submitted or that has been unsubmitted.

Impact:

The ability to control daily timecard entry is paramount to successful payroll and customer billing. We need to be able to control when employees submit their time. This feature will both control and enforce timely daily timecard entry and approval; facilitating Job Cost Posting and Job Billing Ledger Update for daily ticketing.
