Ability to post Time to Soft Closed Jobs

We'd like to include soft-closed jobs in the job drop down menu for Grid Timecards. Often a superintendent may be finishing up a few punchlist items, but we will soft-close a job once our trailers are off site to limit what can be posted there. Supers still may have a few hours here and there to post to the job. We can do this in the core program of Vista/Viewpoint (PR My Timesheet), only makes sense that we could do that in then new platform as well.

    The custom lookup is however ignored when choosing a JCCo/Job Combined field type in Grid Time and Timecard. The portal use to auto select the first JCCo available, but then that function went away, so to ensure a proper JCCo, we went to JCCo/Job Combined, and then the Custom Job Lookup stopped working. It has not worked since.

    Hi Gigi,

    This functionality exists today. The web portal timecards support udlookups in PR Timecard Entry in Vista. You will just need to create a custom one in order to allow users to select the soft closed jobs.

    My team of 40 people need this enhancement. I don't understand why is it not already added. at least 8 closed contracts have time been coded to through Viewpoint, but we can't see the jobs through HFF. So frustrating because it's ridiculous that this is not a thing my whole team wants to pull out of HFF entering timecards on the portal do to not seeing closed jobs.

    This is helpful if you are using a JCCo/Job split on Timecard. However in Grid Time this is ignored for KDS logic for its lookup. A portal setting or config option on the template or lookup would be more ideal for this.


    After every update we have to edit the default lookup for JCCo/Job Combined for Timecard and Grid Time to have the job list we want for our field persons to enter time.

    To see soft-closed jobs in the portal for timecard entry, you will just need to adjust the udlookups in PR Timecard Entry to include these.

    We recently transitioned employees from VFT to Viewpoint HR Time Cards and have now run into this issue. Any update on when this will be enabled? We need this ability and if time is being reviewed and approved, it should not be an issue.

    Hi Team,

    Please accommodate this request. Vista allows for posting to soft-closed jobs, and it would be good for Keystyle timesheets to do the same. Having to do reclass entries in PR/JC is an extra step which can be eliminated by this.

    We have locked down the time entry of soft-closed jobs in the portal to prevent the allocation of time towards these jobs by field employees. If we allowed users to enter time towards soft-closed jobs, would that cause issues with too many users being able to charge their time to those jobs in the portal?

    No....it would b/c if a field employee doesn't/shouldn't be charging time, you can remove their security access.

    Again, we are REALLY struggling over here b/c our superintendents do not want to have to log back into Vista for their soft-closed jobs so they end up emailing our Payroll folks totally losing efficiency.

    Definitely agree. It should follow the field property lookup in Vista for Job # in PR Timecard Entry. Or at least have the ability in the portal to mirror Vista. May as well include the ability to put time to hard closed jobs as well.

    @MarkCadman I don't think that would be an issue since Viewpoint also allows posting hours to soft closed jobs or not. There's a setting in JC Company parameters that lets you change this. Keystyle should follow what that checkbox says in my opinion.

    We would like the ability for the field to post to soft closed jobs and closed sm work orders in the portal. Only if there was some kind of exception report that could be run in Vista each week to let us know what was posted to what.

    Right now we reopen soft closed projects and closed work orders each week so that time can be posted to them. Then these open jobs show up on the Work in Progress report when they should not and also get forgotten to go back and close.

    Mark, I think there are just too many scenarios where we know it could be used. Having the option to toggle it on or off within the portal would be a better option than removing it completely.

    In our case, the jobs can remain in a state of Soft Closed for 2 years or so due to warranty work that might come up. We still need to reconcile the cost of that work to the same project.

    In Vista we are able to put the time to a soft closed project. I think the ability should be there for the field tools as well. As for the employee's putting time to soft closed jobs, much like any open jobs, it would still need approval and review and rejected if not coded to the incorrect job.

    In our system I have modified the list to include the Soft Closed jobs. I have also Included a custom Field on the Job Master to allow PM teams to toggle on/off the Soft Closed jobs they need in the portal. Only problem there is I have to re-apply the modification after every update. To have them there standard would be ideal so our Field Team wont have to do anything different for time to these projects.

    That's the problem...we NEED to have the ability to add time there. Often we will soft close a job b/c we have demoblized, reoccuring expenses are not there, but we still have employees who are dealing with close out, maybe a few punch list items, so now they have to get back into Vista - where they can post time to a soft closed job.

    This could be a portal setting that companies can turn on or off! But we NEED IT!

    We'd like our job accountants to enter their time.  They have numerous hours on soft-closed jobs so we aren't able to utilize the portal.  Any suggestions?

    This is really starting to cause a problem, b/c we now want our Job Accountants to enter time here...and they have a lot of work to do while a job is soft-closed but now can't use the time entry here. help!
