Today, user access for Purchase Orders in Vista Web is either;
A) Wide-open across all companies set to active in the portal, or
B) Locked to the logged-in user's PR Company set in VA User Profile. (With the global Portal setting "Restrict PO Company to the company of the logged-in user")
There's no in-between, and we really need a way to control that access granularly.
Context:
We're unique in that our Office employees are not paid through or even in Vista--only our field employees are. We have VA User Profiles only.
Once we converted to Cloud, we realized that Vista Web expects a PR Employee record tied to a VA user profile for Vista Web Access.
Luckily, we have another charity company set up in Vista that doesn't use the Payroll module, so I started adding office employees (Including myself) into PR Employees there for testing. That gets us into the Portal, but that's not a solution to this problem & actually introduces some problems of its own.
The Problem:
We have access to the Portal, but due to these Portal settings being global, everyone will see everything in the system.
We can't set the "Restrict PO Company to the company of the logged-in user" Portal setting because this charity company has no payroll, no POs, and should never be used for anything other than what is needed for the charity.
Even if I started entering our office employees into PR Employees outside of the charity company, they'd still be restricted to working within that company only. If we had a PO admin that today can enter POs into Vista Companies 1, 3, and 4 but absolutely cannot bleed over or even see POs in Company 2, Vista Web cannot handle that today.
The Solution:
We really need either a per-company override for POs in the portal, or some other way to control what access Vista Web users have to see and enter Purchase Orders other than what their PR Company set is.
The ideal change in my opinon would be an additional Portal option called "Honor VA User Form Security for Company Restrictions"
That way we could keep our separate Vista company for office users who are not paid or anything through Vista (I would just set up another Vista company and then leave the charity company alone), but still control company-level security within Vista and have the PR Employee record that the portal requires.
This setting would ideally be used with other Vista Web modules, with additional Portal settings as well. Perhaps even another Portal setting called "Honor VA User Report Security" or even just "Honor VA User Security Group settings" if you didn't want to get as granular in the Portal, although that's a much bigger shift.
