We like to have employees complete a "re-hire" form every year where we ask them to review personal information (name, address, phone, direct deposit, etc). This is especially useful to complete before tax season, when employees inevitably call saying they didn't get their W-2 in the mail and, oh yeah, they have a new mailing address by the way..
Can this be pushed out through the HRM system? That way it shows the current information in their file and they simply check it annually for changes? It would also remove the manual labor from the office having to make updates if we were to do this through the document dashboard instead.
Also, the Voluntary Self-ID needs to be a part of this check and/or the Employee Tools - Update info tab. Employees can become disabled or overcome a disability at any time, so this needs to be asked every 5 years according to Section 503 of the Rehabilitation Act.
