Field Ticket – Daily Cost Report
Daily Cost is most critical to day-to-day operations for many companies. The issue is that labor, burden, and equipment cost have to be brought in through the payroll process and subcontract and material cost are typically only truly recognized at the end of the month for subcontractors and upon receipt of an invoice for purchase orders.
There is a real need for management at every level (field supervision, project management, dispatching). To have a real sense of the performance of the prior day(s) as soon as possible the next morning (ideally before 9am).
Typically, the project management staff spend hours in the morning trying to determine if the planned operation from the day before was successful or not so that very quick and timely decisions/adjustments can be made.
Vista is in the unique position of having all of the information required to make the evaluation in house. However, Field Ticket does not gather all the information needed to provide a true answer to the cost evaluation.
Suggestions
Take advantage of the Subcontract Detail and Material Detail – The detail sheets from Vista’s PM Module have all the cost information associated with given project. Field Ticket should have the ability for a reviewer to add the

Note: It may not be necessary for this information to have a connection back to the Subcontract or Material Detail Forms within Vista themselves, however, the management information that it provides will quickly pay off more than the effort to put it in.
Have automatic functionality to pull in any material sales information associated with the project; (especially if the Update Units from Material Sales button is selected in Vista PM Projects). – Reporting Purposed Only.
Maybe this happens once the “batch” for that day is posted.
Develop a mechanism to input Miscellaneous Receipts. Often crews need to put in receipts from Lowe’s, Home Depot, Gas Stations, Rental Houses, etc. Those cost could substantial. This would almost need to be free from to the phase code and cost type associated with the project; but would provide a record.
Reporting
Daily Cost reporting – Once all the labor and equipment cost from payroll, the subcontract and delivery cost from Subcontract and Deliveries, the Materials Sales Information, and any receipts have been entered, provide a daily cost report relative to the respective cost types and their current estimates, along with the phases total cost relative to its overall current estimate based on the phase unit quantities being reported for that day.
Custom Reporting – Have this information stored in such a manner that Custom Reports can be built in Vista from all or specific aggregates of the information provided. Examples:
Weekly reports based on Job/Project, Division
These are helpful because you can see your labor and equipment cost associated with the work.
Subcontract Reports
Capturing the subcontractors’ quantity information throughout the day via field ticket and putting it into report does several things.
Facility the entry and is the backup for JC Cost Accrual should the evaluation of the quantities between owner, contractor, and subcontract extend beyond close.
Gives accounts payable and cash management the ability to run a report as specific intervals to understand the anticipated load they can anticipate, and also the level of effort of accounts receivable (or from the bank to cover cost); it would be an appreciated heads up.
Claims – In past similar systems from competitors have been used successfully to support claims to owners, depositions, and arbitration, etc. and good information out of the system in this format has saved millions of dollars.
Much of this information would not be available in Vista until (1) payroll is posted – Weekly, or (2) SL Payments and Invoices are trued up – Monthly.
