Have the ability for an employee to log in and input training for courses that they have taken. This would then have to have an approval from the Training Manager/Coordinator prior to updating records in Vista. Ability to modify, accept, or reject the record and then the option to notify the employee if the record was modified or rejected along with notes as to why.
The fields that the employee would be able to update are:
Training code – to include Safety, Non-safety, Ethics, Harassment Prevention, Diversity
Class Description (using ud field of “Class Description” which has more characters available)
Instructor
Date of Class
Date Class was Completed
Duration of course in ¼ hour increments
Date of Course Expiration if applicable
Certificate or Card number
Option to upload an attachment – (as part of the new Document admin role need ability to have an HR Document admin and Training Document admin)
Email to employee when training has expired (See Note, below.)
Email to employee as a reminder to complete annual requirements. Set a field in Vista for what the annual training goals are and track progress in the portal so the employee could see what are beginning hours and what are remaining. (See Note, below.)
Note: In regards to the email notifications listed in items 2 & 3, a “Notify” column with a checkbox may need to be added to the HR Codes program that allows for selection of the courses for which notifications are to be sent. This is to prevent duplication of the notifications that are sent out by ACTS for the compliance courses. In other words, an email notification would not need to be sent for every course with an expiration date. As we are setting up the employee self-entry portal, it would be helpful to have a checkbox which allows for the individual and/or the TC to request to receive notifications in this new set up.
