Please make a popup warning when you click on an item in the portal which will consume a license. We had a user who was playing around with a feature and gave access to it to some other employee over 2 years ago. Now it seems that the license counts are actually being used and, even though the users do not use that functionality, unclicking the access does not remove it from those users. As a result, we are being balance billed for the extra user licenses consumed. While this is not a huge amount of money, it is an annoyance that we should have been warned about before, minimally before a fee is incurred. We did try to resolve this with our account representative last summer, but were told that once the box is checked, the license cannot be released. Other customers should beware as we are now paying extra license fees for functionality that we do not use and will be billed accordingly forever.

Your portal systems admins will be able to reduce your billable user counts if you have accidently gone over the number of licenses on your contract. Our billing team will typically send out an email to let you know that you are over your counts as a warning so you have time to reduce any unwanted user license counts. Then if you reduce your counts to or below your contacted counts, our billing team will be able to credit any accidental overages.
