Restrict Submit All to only the employees managed by a Foreman

When using a shared template, if someone uses the Submit All function in the Grid Timecard, all time entries in the template are submitted. A foreman only has permission to enter time for his crew. He cannot see the time entries for another foreman. Either 1. Submit All should only be available to an Admin or 2. Submit All only submits the time entries entered by the foreman.

Option 2 is preferred.

We have 40 foreman who enter time. Creating a template for each foreman would be time consuming to create and maintain. We are supposedly able to assign the same template to multiple foreman, but I do not see how to do it.

    Hi Justin,

    If you are currently using the Submit All function and shared grid timecard templates with the assignments so foreman have access to all field employees, you should see no difference in behavior when you update. The new restriction is not enabled by a portal setting and is our new standard behavior.

    In the example you provided, when Foreman A submits the timecard it will submit time for Employees 1-10. If Foreman A only had Access to Employees 1-5, it would only submit for 1-5 when they choose Submit All.

    HI Mark,

    Is this going to be a Portal Setting we can choose or the new default? Also that is not the behavior described in the request. The behavior described is that the Submit All only submits time entries entered by the Foreman.

    I need to be very clear on this, because it could cause a tremendous business interruption. Here is the scenario:

    Foreman A can enter and submit time for Employees 1 through 10, but he only enters time for Employee 1 and Employee 2 in a specific week. That same week Foreman B enters time for Employees 3 through 10. When Foreman A Submits All, what time is submitted?

    No problem at all. In the case that the foreman has access to all Field Employees, this will submit for all those users. If you would like this to be limited to the new Crew Filter we just added, add a new suggestion for it and I'll have our team take a look.

    Hi Mark,

    Sorry to keep bothering you, but is it going to Submit All for all the employees the logged in user has access to, or that is in the Crew they are entering time for?

    What I am getting at, is if I have a Foreman that is able to add time for all Field Employees for the entire company, but they have a crew of 20% of those people that they are currently working with, when they Submit All is that going to Submit All for all employees or just the 20% he currently is entering time for?

    Hi Justin,

    Submit All will be available to all users with access to the Shared timecard, but when they submit select Submit All, it will now only submit the users that they have access to instead of submitting for the entire template.

    Obviously not Dave, but EMCOR Operating Companies used shared templates for case #1 and as more California based EMCOR Operating Companies consider implementing Vista case #2 is always asked about in demos.

    Hi Dave,

    The standard templates for Grid Timecard are automatically made available to all users that have access to Grid Timecards and are in the PR Group where that template is setup. Try creating a separate template without the shared checkbox checked.

    The shared template setup is specific to the following use cases:

    1. All time entered by a foreman should be viewable by all other foreman if they have access to the same employees. This is helpful if you have employees that jump around from crew to crew.

    2. Time entered by a foreman will need to be signed and submitted by each employee through their individual logins

    Do you need the shared template configuration for either of these 2 use cases?
