Job Time Approval not showing up in Hotlist

As a new employee is onboarded, we train the employee on Keystyle. Specifically, where they will go to approve invoices, expenses, and timecards. When the employee is onboarded we log in together and click "Manage My Hotlist" to add those functions to their splashpage. Currently, we are able to add "Invoice Review" and "Expense Approval", but "Job Time Approval" is not able to be added to the hotlist. I logged a ticket, only to be told that their must be an actual timecard that is ready for their approval before they can add it to there hotlist. Why is Job Time conditional upon there being live data, while the other two (invoices and expenses) can be pre-emptively added regardless of whether there is anything to approve? It is highly impractical to have to remember to come in a few weeks later and make sure the employee added it to their hotlist. Having it there saves lots of confusion, especially since there is no way to disable regular timecard approval (something we don't use but can't seem to suppress - this is also confusing!)


Interestingly, up until about a month ago (when a large update happened), Job Time approval could be pre-emptively added to a new employee's home screen. Since there is no logical reason to make this coding change, I must conclude it's a coding error that someone missed during the update. Please change it back so a user can add anything to their home screen, whether there are any transactions to approve or not. I do not consider this a suggestion but more of a bug that needs to be corrected.

    Taking this out of the public stream. I'd love to get on a WebEx. But here's my initial response:

    With all due respect, I am sure you are mistaken. First, I have been on Keystyle for several years and I've always been able to add Job Time approval before the employee's first day, until a month ago.

    Second, our new users never step into the shoes of another user (which may have transactions). Often times they only train for several weeks before being assigned to their first job which would have transactions.

    Third, if it's true you purposely restrict access to a page that has no transactions, then why are you allowing me to add "Expense Approval" and "Invoice Review" when those pages also have no transactions to approve? At best, your design logic is inconsistent. I suspect you think my new user must have a transaction in both "Expenses" and "Invoices", as that is the only explanation that would explain how I'm wrong. I'd love to get on a WebEx and create a new user with you watching, not assign them to any jobs, and prove to you that you logic is busted.

    But I'm confused when you say that you purposely restrict access to a page they will "never" access. It's not true that our PM will "never access" it. He will certainly need it when he gets assigned to a job in about 2 weeks, just like Expense Approval and Invoice Review.

    Regarding "Timecard Approval", if you click on it, it takes you to a screen where actions can be taken. It is true they don't "have to" do anything there in order to me be our Job Time through the system. I'm saying I want to hide the page all together, because otherwise I have to tell them to not click it and to just ignore it. When they ask why, I just end up saying "because Keystyle hadn't figured out a way to suppress access to this unneeded thing.". It's frustrating, and confusing. It doesn't impair actual function.

    Hi Matt,

    We haven't made any changes to our Hotlist logic for Job Approval so it doesn't make sense that you were able to add to the hotlist previously. Perhaps it was just the timing of onboarding those new users and them having timecards available for approval. We purposely restrict this access for users that way users are not given an option to a page that they will never be able to access.

    Timecard Approval should not be something your Job Approvers should also have to do. Are they just seeing the page or are they also supposed to approve timecards on that page?
