Expense submission

After importing the credit card expenses.  There is no way of seeing what step employees are in, when they are processing there expense report.  I can see the Red X indicating that they have not touched it but there is no report showing the process.  I have to create a list and bounce back and forth while going page by page.  I think there should be a quicker way to do this.

Good morning, Michael -  The request is to have a column on the credit card import page to show SUBMITTED with a checkbox.  Coded and Approved checkboxes already exist.  Thanks so much for hearing me out on this.

This is excellent documentation. Put another way, the request is to have a column on the credit card import page to show coded with a checkbox?  We can add that for sure, just want to make sure that is the request.  Are there any other columns that would help the group?

Hi again - We have Coded & Approved in the Credit Card Import grid as you mentioned.  The piece that is missing is Submitted.  A cardholder can have all transactions Coded but still be Pending Submission.  If I look at the Coded column, it shows me what has been converted to Credit Card Type/Matched, which is great. It does not show me what Items are still Pending Submission. Until they're Submitted, the work by our Expense Admin is not done.  Until they're Submitted, they cannot be Approved.  She has to track what's pending submission via Excel or go cardholder by cardholder in the Submit Expense page.

I've attached some screenshots for a cardholder with a mixed bag. If you look at Credit Card Import grid for him, you see 5 items coded and 3 not coded (unmatched). What you can't tell is that none of the coded have been submitted. Am I missing something?

To put a scope on this, are you referencing the Credit Card Import page?  In version 19.3 you are able to see if items have been coded and approved.  You can export this to excel.

Hey Michael - In your comment below, you say "Currently we show if the item has been coded and if the item has been submitted." The Credit Card Import page shows Coded and Approved, but I don't see Submitted. Where do you show the Submitted status?

This would be most helpful as the admin could use that status column as tracking for items that still need to be coded and submitted. (She does all the coding and submission for field employees.) Currently she has to use an Excel spreadsheet to keep track of which cardholders she's worked and which still need to be worked. (This is doubly necessary since the "Submit Expenses For" list on the Submit Expense page shows all cardholders, not just those with Unreconciled or Pending Submission transactions. (I'm actually going to submit that as a separate enhancement request.)

Another report which would be great. Is on the posting tab to be able to have a drill down to see who has not filled out information correct.  For instance, in our case, you have to have a job number, phase code, and a cost type.  We have expensed being approved for posting even when it is not filled out entirely.  Basically with missing information.

yeah you guys show that but there is no way to pull the data with out cut and past.  Also if someone has not started the process, it will not show anything.  So currently if I submit an expense to an employee and he does nothing with it.  I have not way of know what state the employee is in.  it could be left there and never processed.

What type of indicator would be helpful.  Currently we show if the item has been coded and if the item has been submitted.  Is there another indicator that would be helpful?
